HR Executive

Description

As an HR Executive, you will be responsible for the full spectrum of the day-to-day HR function for a portfolio of companies within the group.
 
Responsibilities:

• Handle full spectrum of HR functions such as recruitment, staff benefits, and retention.

• Provide day to day support and administer performance appraisal and development plans

• Conduction staff orientation for new hires. (introduction, setting up a designated log-in, workstation, email address, access cards, namecards etc.)

• Handling all internal & external employee’s work passes application & renewal (S-Pass holder, EP holder, WP holder) and employee’s dependent passes or any other training passes

• To update & maintain staff records (Annual / Medical Leaves)

• To update & maintain company documents (investment, subsidiaries’ contracts, joint venture agreements and etc)

• Monthly verification on employees’ expense claims, company general invoices (cleaners, telecom lines, printer usage)

• Knowledge of MOM Regulations & Policies.

• Submission of Monthly CPF Employee contribution.

• Ensure compliance of HR policies and best practice in accordance with the company’s code of conduct and local regulatory requirement.

• Preparation and filing of yearly income tax (IRAS) for employees yearly.

• Processing of NSmen claims, Government paid-leaves claims, and statutory claims

• Handle of government grants application – MRA, PMAX, CSP, FWA, CDG, and etc.

• Handle of festival celebration and other events : team building session, lunch & dinner arrangement, office decoration, customization of gifts, and etc.

• Register and keep track of all office door access cards, deletion of access card (lost card), activation of access card, printing of access card stickers for new employee(s).

• Upkeep of whole office cleanliness. (Meeting rooms, employee(s) work desk, pantry)

• Installation of printer driver for new users, printer access issue, manage user IDs and monitor monthly usage, solve printer basic issue (paper stuck, printing stuck, dual functions and etc.), liaise with printer company on the maintenance of printer when needed, set up scanning point and etc.

• Handle the purchase of office stationeries including collection and distribution from resigned staff and to new staff

• Ad-hoc occasional gifts preparation for customers if applicable.

• Assisting director(s) with their time and daily management, scheduling of meetings whenever applicable.

• Attending walk-in guest & customers, handling incoming calls and queries

• Handle daily incoming letter collection from mailbox and distribution

• In-charge of mailing and courier matter: stamps purchase, get quotes and approval for adopted courier services, urgent documents courier handling (DHL & OSC courier services). In charge of the whole courier services account.

• Handle periodically groceries check-up and ordering, weekly water ordering, ensure the tidiness of groceries and cleaning equipment, fridge and etc.

• Handling of registration/application of government portal, courses attending, authority and vendor’s portal.

• To assists in other HR administrative functions and any other duties as assigned.

 
Requirements:

• Strong interpersonal and communication skills. Ability to interact with all levels.

• Ability to work in a dynamic environment while adapting to changing priorities

• Ability to work independently and under pressure.

• Initiate with good command of English Language.

• Good working knowledge of MS Office/MS Excel.


Education & Experience:

Diploma/Bachelor's Degree in HR is preferred.

A minimum of 1-2 years of experience as HR or equivalent experience is preferred.
